Welcome to ReceiptSanity. Please read these Terms and Conditions ("Terms") carefully before using our web or mobile application. By creating an account or using the service, you agree to be bound by these Terms. If you do not agree, do not use the service.


1. Nature of Service

ReceiptSanity provides an automated tool for capturing, scanning, and classifying receipts. The core extraction functionality is powered by third-party artificial intelligence, as described in Section 3 below.

  • No Tax or Financial Advice: ReceiptSanity is a productivity tool, not a financial, accounting, or tax advisory service. Nothing in the service constitutes professional advice. You must not rely on AI-extracted data as a substitute for professional advice.
  • Verification Obligation: AI-generated extractions and classifications are inherently subject to error. You are strictly required to independently verify all scanned and extracted data before using it for tax filings, expense claims, financial records, or any official purpose. ReceiptSanity accepts no liability for errors in AI-extracted data.

2. User Accounts

To use the service, you must:

  • Provide accurate, complete, and current registration information.
  • Maintain the security of your account credentials.
  • Notify us immediately of any unauthorised access to your account.

You are solely responsible for all activity conducted under your account. We may suspend or terminate accounts that provide false information or are used in breach of these Terms.


3. Third-Party AI Model Processing

You expressly acknowledge and agree that:

ReceiptSanity's receipt scanning and data extraction functionality operates by transmitting your uploaded receipt images to third-party AI model providers. Specifically:

  • Your receipt images are sent to OpenAI's API (openai.com) for processing by a large language model. This is an integral and unavoidable part of the service — receipt extraction cannot occur without this transmission.
  • By uploading a receipt image, you consent to that image being transmitted to OpenAI for processing.
  • OpenAI acts as a data sub-processor under our agreement with them and is not permitted to use your data to train its models under our API arrangement.

You acknowledge that by using the service, your receipt images will leave ReceiptSanity's own infrastructure and be processed by OpenAI's systems, which may be located outside Australia. Full details of sub-processors and data flows are set out in our Privacy Policy.

We will notify you of any change to the AI model provider used for receipt processing with at least 14 days' notice where practicable.


4. Data Use — No Sale, No Third-Party Sharing

We do not sell, rent, license, or otherwise commercially exploit your personal data or receipt content.

Your data is used solely to:

1. Deliver the receipt scanning service to you; and 2. Conduct internal quality assurance reviews of our AI data extraction pipeline — specifically, to assess the accuracy of extracted fields and identify errors or systematic parsing failures.

The internal review described in item 2 above:

  • Is restricted to authorised ReceiptSanity personnel.
  • Is conducted for the sole purpose of improving extraction accuracy.
  • Does not involve any commercial use, sale, transfer, or disclosure of your data to any third party.
  • Does not result in your data being aggregated or used to build behavioural profiles.

This data use commitment forms a material term of this agreement. Any breach of this commitment by us entitles you to terminate your account and seek a pro-rata refund of any prepaid subscription fees.


5. Subscription and Billing

Fees are charged according to the plan selected at signup.

  • All fees are stated in Australian Dollars (AUD) inclusive of GST unless otherwise noted.
  • Subscription fees are non-refundable except as required by the Australian Consumer Law (ACL).
  • We reserve the right to change our pricing with 30 days' written notice. Continued use of the service after the effective date of a price change constitutes acceptance of the new pricing.
  • If you cancel your subscription, your access continues until the end of the current billing period. No partial-period refunds are provided unless required by the ACL.

6. Acceptable Use

You agree not to:

  • Upload content that is unlawful, fraudulent, defamatory, or that infringes any third party's intellectual property rights.
  • Attempt to reverse-engineer, decompile, or extract the source code or AI prompts underlying the ReceiptSanity extraction engine.
  • Use the service to process receipts on behalf of third parties on a commercial basis without our prior written consent.
  • Circumvent any technical measures we use to enforce these Terms or secure the service.
  • Upload content that does not constitute a legitimate receipt or financial document.

We reserve the right to suspend or terminate access for any breach of this section without notice or refund.


7. Intellectual Property

All software, design, trademarks, and content comprising the ReceiptSanity platform remain our exclusive property or that of our licensors. These Terms do not transfer any intellectual property rights to you.

You retain ownership of your receipt images. By uploading them, you grant us a limited, non-exclusive licence to process them for the purpose of providing the service, consistent with our Privacy Policy.


8. Limitation of Liability

To the maximum extent permitted by law:

  • ReceiptSanity shall not be liable for any indirect, incidental, special, or consequential loss or damage, including loss of data, loss of revenue, or loss arising from reliance on AI-extracted classifications.
  • Our total aggregate liability to you for any claim arising under or in connection with these Terms is limited to the total subscription fees paid by you in the 12 months immediately preceding the event giving rise to the claim.
  • Nothing in these Terms excludes liability for death or personal injury caused by our negligence, fraud, or any liability that cannot lawfully be excluded under the Australian Consumer Law.

Australian Consumer Law guarantees apply to our services and cannot be excluded. Where the ACL applies, our liability for a failure to comply with a consumer guarantee is limited, to the extent permitted by law, to resupplying the service or paying the cost of having the service resupplied.


9. Availability and Changes to the Service

We do not guarantee that the service will be available at all times or free from errors. We may modify, suspend, or discontinue any part of the service at any time. Where we discontinue the service entirely, we will provide at least 30 days' notice and a pro-rata refund of any prepaid fees for the unused period.


10. Governing Law and Dispute Resolution

These Terms are governed by the laws of Queensland, Australia. You and ReceiptSanity submit to the non-exclusive jurisdiction of the courts of Queensland for the resolution of any dispute.

Before commencing any legal proceedings, you agree to contact us in good faith to attempt to resolve the dispute informally within 30 days.


11. Changes to These Terms

We may update these Terms from time to time. We will provide at least 14 days' notice of material changes by email or in-app notification before they take effect. Continued use of the service after that date constitutes acceptance of the updated Terms.
